Assessment Task 3: - Project Sydney CAR RENTAL is a SMALL CAR rental company that provides regular car rental service, with two pick up and return locations. They offer different car types including small family cars, large family cars, compact executive cars and compact SUVs, in total the company has about 20 cars available for a rent. In order to run their business effectively they need a SOFTWARE SOLUTION that helps to serve their customers and reduce the running costs of the business. Your proposed solution should effectively address their needs and provides means to run the business. One of the most important features every car rental needs is a booking system that allows customers to book cars and keeps track of all vehicles. Since the company has two branches they need to have a good overview of which cars are available and on which location. The system easily enables to book cars and manage all rentals. Many of their customers prefer to book the car in advance and the software should find all available cars during that period. Also the billing information related to bookings which make it easy to monitor business cash flow. Another crucial element is managing vehicles. As mentioned earlier the company has about 20 cars and all of them fall into one of the four available models. When it comes to booking then every car has a current status that shows if this car is currently available or not. The full history of the cars' status is also stored and naturally all BOOKINGS in the future as well. According to Sydney's business model each vehicle has an individual pricing SCHEDULE which is mostly dependent on the model of the car, vehicle's manufacture date and mileage. Currently, there are five price ranges based on the rental period. Thus every car has its own pricing information which has to be stored. Sydney has many loyal customers and in order to delight them, the company has special discount campaigns for such customers. For this reason the software provides a simple way to manage all customers and save information about their CAR RENTAL history. It makes really easy to determine loyal customers and offer them valuable benefits. Your software should help Sydney Car Rentals to complete everyday business ACTIVITIES smoothly and effectively. A great advantage expected from this software is that it should handle all Sydney's main business processes and they do not have to use another tools to manage their customers, vehicles and employees for example. Tasks: Carefully read the above given requirement from Sydney Car Rentals and create a report to be submitted to your trainer (Assuming your trainer is the major stakeholder who owns the Sydney Car Rentals). Below questions will guide you in creating the required report. You can use the templates given at the end of the questions as Appendix wherever required. It is not mandatory to use the given templates. Learners can create their own templates also. Alternatively visit this website http://www.projectmanagementdocs.com/project-planning-templates/project-management-plan.html . Question 1: Identify the scope, objectives, business problem or opportunity and develop a project charter. This project charter can be used to initialise or signoff the project. Refer Appendix A for the Project charter template. Question 2: Now assuming you have obtained the sign-off in the project charter, plan the information gathering activities to confirm the requirement, identify the risks and possible constraints to the system. Your information gathering activities may include interview with the client, surveys, researching similar websites like www.thrifty.com.au , www.budget.com.au and others. Question 3: Develop a detailed project plan that includes work breakdown, project timeline and budget. Question 4: Define the project roles and responsibilities. Question 5: Comparison of information related to current operational practices and strategic plan to determine possible IT gaps and improvement opportunities to implement the new system. Create a risk management plan.  Question 6: Write note on quality management, testing to be used to test the software and explain the communication procedure you will suggest. Question 7: Create a disaster recovery plan for the system you intended to develop along with the maintenance or support plan you will offer to your client. Question 8: Lastly create a sign-off form to be used at the closure of the project Note: The questions are provided to ease your task. You are required to remove the question numbers and submit your solutions in form of a report and not as question and answers. Your final report should have heading wherever necessary and should include table of contents.
